Party Booking Terms & Conditions
By booking a party at Hyto Tyto, you agree to the following terms and conditions. Please read these carefully before confirming your booking.
1. Booking Confirmation and Payment
- A 50% deposit is required to confirm the booking and secure your selected date and venue. This deposit is non-refundable unless otherwise specified in our cancellation policy.
- Full payment of the booking is required no later than 1 week before the party date.
- All payments should be made via the online booking system (except for special arrangements), and confirmation of payment will be sent via email.
2. Party Venue and Usage
- Outdoor party venues are exposed to weather conditions that are beyond our control. While we will make every effort to accommodate guests indoors in case of adverse weather, this is not guaranteed.
- Should you voluntarily choose to relocate your party from an outdoor venue to another area, including the restaurant, the full venue hire fee will still apply and requires Hyto Tyto approval.
- The venue hire covers the exclusive use of the reserved party area for the allocated time slot.
- Should you wish to bring in your own external entertainer and/or décor company/events manager, please ensure that they adhere to your party booking spot times unless other arrangements have been made.
- All external décor props, backdrops, balloon arches, etc., need to be collected the same day as the event. Hyto Tyto will not take accountability for any equipment being misplaced, lost, or damaged while on-site.
- No music is allowed.
- Smoking is only allowed in the designated smoking areas in the park.
- No confetti is allowed.
3. Changes and Cancellations
- Date Changes: We understand that plans can change. You may request a change of date for your booking, subject to availability. However, date changes are not guaranteed and will be handled on a case-by-case basis.
- Cancellations:
- For cancellations made 3 or more weeks before the party date, you will receive a 100% refund of your deposit.
- Cancellations made within 2 weeks of the party date will receive a 60% refund of the deposit.
- Cancellations made within 1 week of the party date will receive a 30% refund of the total booking.
4. Party Setup and Food Orders
- All party setup requirements, including decorations, food, and other pre-orders, must be finalized at least 7 days before the event. This includes notifying Hyto Tyto of any 3rd party suppliers/entertainers for the party.
- Any special dietary requirements or allergies should be communicated at the time of booking.
- In the event of bad weather, outdoor setups will not be moved indoors unless specifically arranged, and no refund will be offered for venue hire if the weather changes.
5. Liability and Responsibilities
- Hyto Tyto does not accept responsibility for any injuries that occur during the event. Parents or guardians are responsible for supervising their children at all times.
- Guests are responsible for any damage to the property or venue that occurs during the event. Any damages will be billed to the party organiser.
- Hyto Tyto (Pty) Ltd, their directors, officers, employees, representatives, and agents shall not be held liable for any death, harm, or injury whatsoever to any person or any loss, destruction, or damage whatsoever to any person’s property or possessions. Visitors shall not hold Hyto Tyto (Pty) Ltd, the owners, or any of their respective directors, members, employees, or agents liable for any such harm.
6. Force Majeure
- If Hyto Tyto is unable to fulfil the booking due to circumstances beyond our control, including but not limited to natural disasters, strikes, or government regulations (e.g., COVID-19 restrictions), we will offer an alternative date or a full refund.
7. Agreement to Terms
By checking the box during the booking process, you agree to these Terms & Conditions. Failure to comply with these terms may result in the loss of your booking or additional charges.
